Cosplay Gatherings

Looking to Meet-up with fellow Cosplayers or Anime fans to take photos and talk about your favorite characters? PopCult Anime Con is launching a brand new Cosplay Gatherings Room for 2024! 

At PCAC24 there will be two types of meet-ups:

  • Casual meet-ups are organized and promoted entirely by you, usually outside of the Westin Waltham hotel. PCAC Staff tries to maintain a list of casual meet-ups on the PopCult Anime Con Discord Server as a courtesy, but these events are not official and will not be monitored by staff.
  • NEW FOR 2024: Scheduled Cosplay Gatherings will occur in our designated hotel space and can be reserved ahead of time. Rules and reservation details can be found below. 

Cosplay Gathering Space Rules:

  • All meet-ups should be free, public and open to all cosplayers, photographers, and fans.
  • Cosplay Gatherings held within the Westin Waltham Hotel require a registration badge to PopCult Anime Con and are subject to convention policies. Clothing and props at the meet-up must comply with convention and cosplay policies.
  • Meet-ups are scheduled on a first-come, first-served basis.
  • Each fandom/series is allowed one meet-up per day. 
  • The Livermore room is designated for hanging out and taking photos. It is not intended for performances, games or other physical activities that takes up a lot of space. No equipment is provided by the convention.
  • Cosplay Gathering blocks will be 45 minutes long, with a 15 minute buffer to clear the room between meet-ups. Gatherings must end within the allotted timeframe and leave the room as they found it for the next scheduled group. Meet-ups cannot start early or end late if another Gathering is scheduled before/after your time block. 

Host Rules:

  • Each Cosplay Gathering must have one host who schedules the meet-up.
  • Hosts may have a second-in-command during the event, but the registered host is responsible for all communications with staff and/or security before, during and/or after the convention.
  • The host is responsible for ensuring all meet-up members are following the Cosplay Gathering rules and Convention Policies. Security staff will be posted nearby in case a Gathering runs into any issues.
  • A single person may host up to two scheduled Gatherings per day.
  • The host of a meet-up and PCAC staff reserve the right to end a meet-up early. PCAC staff reserve the right to reschedule Cosplay Gatherings.
  • If multiple hosts sign up for the same series on the same day, the first host will get priority.
  • If a host is no longer able to host a meet-up they may choose someone else to take over as host of the meet-up OR the scheduled time block can be cancelled and made available for others to schedule a new meet-up.

Livermore Room Open Hours:

  • Saturday: 10 a.m.–7 p.m.
  • Sunday: 10 a.m.– 4 p.m.

How to Schedule a Meet-up:

  • Next year, we will have an official application for scheduling Cosplay Gatherings. As this room was unable to be guaranteed until this close to PCAC24, we have offered the room to groups who arranged casual meetups on the PCAC Discord server in the months leading up to the con.
  • There may be time available in the room for more shoots! When you arrive at PCAC24, check the whiteboard outside of the Livermore room for available times and add your gathering to the schedule.

This con has come such a long way from its early days, it’s so based in community and brining joy and uplifting to its attendees. Every staff member I interact with is always so helpful, the offerings of panels and events during the con is so accessible and fun. It’s basically everything you’d want from a small community con in a growing atmosphere. Couldn’t recommend it more! Give it a try!

PopCult was the convention that made me love conventions!

I used to dislike conventions, but PopCult was my first anime convention back in 2022 (I went for a friends birthday), and the kind staff and fun events made me absolutely love conventions instead! The attendees are always so kind, and there’s always something fresh and exciting to do there each year! I plan to come back for many, many years!

I personally love these smaller conventions, and with it being my first time at Popcult, it had such a great atmosphere to it. I was lucky enough to be the MC for the masquerade, and getting to work with the stage and tech staff was a great experience. The staff is great to be around, and it’s actually very easy to make friends at the con, and you will probably see them at other cons as well. Go for the entire weekend of a great end of summer convention!
